A Digital Assets Management adventure that started in 1848!

Imagine managing over 290,000 analog and digital assets, from an art college that has been creating visual assets continually for over 175 years! It can be a daunting task, especially without a centralized search system, directory structure, or naming conventions.

Faced with this challenge, I sought out and implemented a Digital Asset Management (DAM) tool that required minimal internal IT support, utilized artificial intelligence (AI) to add keywords for improved search, and required a modest yearly budget. After importing those 290,000 assets into the system, I designed and configured the DAM's user interface and functionality. This included:

  • Creating an easily accessible web interface branded with the institution's identity.

  • Implementing simple and advanced keyword search tools to facilitate asset discovery.

  • Establishing curated sub-gallery features, with customizable sharing & security settings.

  • Enriching assets with a helpful taxonomy and consistent naming conventions.

This solution made the institution's rich history and contemporary student work readily accessible to staff, faculty, media outlets, and other partners. By organizing and labeling assets effectively, we ensured that users could efficiently locate and utilize the vast collection of visual resources.
